Roles & permissions

Roles & permissions explained

How Team Access and Project Access work, and what Full Access, Manager, Crew, and Custom each include.

RenoJira separates access into two areas:

Team AccessProject Access
Controls a member's account-level team permissions.Controls what a member can see and manage inside each project.
These are separate. A member's Team Access does not determine their role or permissions inside a project.

Team Access

Team Access controls exactly three account-level permissions, set individually for each team member — nothing else. It doesn't affect what someone can see or do inside a project.

PermissionWhat it allows
Clock In / OutAllows the member to track their own work time.
Manage TeamAllows the member to add, edit, and remove team members, and manage their Team Access permissions.
Crew PayAllows the member to view and manage crew pay. Requires Manage Team.

Team Access applies across your account. Project access is set separately for each project.

Project Access

Project Access controls what a member can see and manage inside a specific project. A member can have different access on different projects — for example, Manager access on one project and Crew access on another.

RenoJira provides three predefined project roles — Full Access, Manager, and Crew. Choose Custom when you need a different permission setup.

Expenses, Payments, Change Orders, Tasks, Photos & Files

These all follow the same access rules. Here's what each role can do — Custom lets you pick any of these levels per feature.

What the access levels mean

Access LevelWhat it means
Add & Manage OwnCan add new records and manage records they created. The typical level for Crew.
Manage Team RecordsCan manage their own records and records created by other team members, excluding records created by the Owner or Full Access members. The typical level for Managers.
Manage AllCan view and manage everyone's records, including records created by the Owner and Full Access members. The level for Full Access members.
View AllCan view all records but cannot manage records created by others. Available with Custom access.
No AccessCannot access that feature. Available with Custom access.
The project permission hierarchy: Add & Manage Own → Manage Team Records → Manage All. In short: Crew → Own, Manager → Team Records, Full Access → All.

Full Access

Best for business partners or trusted people who need owner-level project access.

Full Access members can view and manage project records created by anyone, including records created by the Owner and other Full Access members. They can access project financial information, including profit, and have broad control over the project.

Use Full Access for people who should have project access similar to the business owner.

Manager

Best for project managers, supervisors, and foremen.

Manager is a predefined project role for people responsible for running the day-to-day work of a project and supervising the team. Managers can manage:

  • Their own records
  • Records created by Crew and other non-Full-Access team members

Managers cannot manage records created by the Owner or Full Access members. This lets Managers supervise the project team without owner-level control, and project profit remains hidden from Managers.

Crew

Best for employees, installers, technicians, subcontractors, and other field workers.

Crew is a predefined project role for people who primarily work with records they create themselves. Crew members can add and manage their own:

  • Expenses
  • Payments
  • Change Orders
  • Tasks
  • Photos
  • Files

They cannot manage records created by other project members.

Custom

Best when Full Access, Manager, or Crew doesn't match someone's responsibilities. Custom lets you choose project permissions individually.

For example, you could let someone manage team tasks and photos, view all expenses, but only add and manage their own payments.

Custom lets you create the right level of access without giving someone Full Access.
